The University of Winnipeg's English Language Program (ELP) delivers high quality programming to international and domestic students seeking to enhance their English proficiency. ELP offers a certificate program for those seeking to teach English as an additional language to adults, as well as customized programming and private tutorials — including communication coaching and workplace communication skills enhancement for internationally-educated professionals.

The Student Life Coordinator plans, coordinates, and oversees all areas of the ELP student life area including the accommodation program, socio-cultural activities, The Language Partner Program, and student volunteering.

Responsibilities:

  • Works with ELP students in crisis or conflict (internal matters of student harassment, conflict with host families, adjustment issues, health matters, etc.) and refers students to resources as needed.
  • Responsible for all student life orientations including safety, socio, new student information, general information of living in Canada, and other information pertaining to specific student programs.
  • Responsible for planning, organizing and facilitating ELP graduations/ceremonies.
  • Responsible for ensuring students submit claims for health insurance and help with any inquiries regarding their coverage.
  • Responsible for all aspects of the Socio-Cultural Program: coordinating activities & events (approximately 100 activities per year), managing budgets, consulting with program coordinators and instructors, planning and implementing extra programs, ensuring policy implementation, organizing final evaluations, communicating with students, reporting concerns to the Director in a timely manner and supervising large groups of students attending activities (sometimes including minors).
  • Coordinates Language Partner Program: recruits language partners from the university and local community, assesses potential language partners’ suitability, conducts orientation for language partners at the beginning of each session, matches language partners with students and maintains ongoing communication with both parties to ensure the success of matches, resolves issues related to the program and makes changes in matches as required.
  • Responsible for the Student Volunteer Program: conducts a student orientation at the beginning of each term, contacts and assesses appropriate locations and businesses students to be placed, assesses needs of students organized placements based on student’s linguistic level and abilities, works with a liaison at all the volunteer locations to ensure that the goals of the program are met, follows-up and maintains communication throughout the term with the student and volunteer coordinator at the placement location to ensure there are no issues, resolves issues related to the Student Volunteer Program makes changes in placements as required, reports any concerns to the Director, takes overall responsibility for the success of the Student Volunteer Program.
  • Responsible for the Accommodation Program: works with the Director in planning, recommending, and implementing any policy changes, resolves major problems that arise in the program with students or families, provides support to and supervises the Accommodation Coordinator (meets weekly to discuss issues, assistns in preparing/finalizing budgets each term), ensures all students are placed in a timely matter, refers students to resources if needed, consults with the Director and makes recommendations, is on-call duty in rotation every two weeks, and manages urgent issues related to student life that might come outside the office hours.
  • Program development: plans and develops policies for current programs, researches, consults with contacts and uses data from evaluations to change/improve programs, provides program suggestions for short-term program and full-time programs.
  • Prepares, updates, and finalizes budget sheets for full-time & short-term socio-cultural programs.
  • Ensures that all invoices for expenses incurred are processed.
  • Creates and maintains databases (i.e.volunteers, placements for volunteer programs, student issues, etc.)
  • Prepares summary reports on all activities as well as a final financial reports.
  • Provides support for contracted Socio-Coordinators/Instructors when they are hired to work in short-term programs.
  • Develops materials and resources for the English Language Program.
  • Updates ELP website.
  • Maintains a photo bank of students in classrooms, students at activities and students with host families for use in promotional materials, obtains and stores all required photo releases, constructs and maintains a photo gallery on the ELP website as well as social media sites.

Qualifications:

  • Undergraduate degree (B.A. or B.Ed.)
  • Training and qualification in TESL or an area of specialization in Linguistics to a level that will meet TESL Canada instructor certification standards considered an asset.
  • Successful administrative and supervisory experience (2-5 years).
  • Experience in organizing and coordinating educational programming (2-5 years).
  • Experience with program development (ie. Student internships program, student volunteer placements).
  • Experience coordinating a volunteer program considered an asset.
  • Experience developing promotional materials (e.g. websites and webpages, promotional videos)
  • Two years TESL experience, working with students with a wide range of ability levels (beginner to advanced) considered an asset.
  • Risk management/crisis/conflict training (or equivalent experience).
  • Office computer software applications (Word, Excel, Powerpoint, Outlook).
  • Knowledge of and experience using a database program (Excel and/or Access).
  • Knowledge of issues surrounding second language acquisition and adult students
  • Specialized training in writing for the web considered an asset.

An equivalent combination of education, experience, skills, knowledge and abilities may be considered.


Condition(s) of Employment:

  • Must be legally entitled to work in Canada.
  • Must be available on-call duty in rotation every two weeks, and able to manage urgent issues related to student life that might come outside the office hours.

Note: The work described in this posting will be conducted in-person.
